Privacy policy

Meridian is a registered investment advisor with the Autorité des marchés financiers du Québec (AMF). We collect and process the personal information described below in order to provide our advisory services to your organization. This policy describes what we collect, why, who has access to it, how long we keep it, and your rights under Quebec's Act respecting the protection of personal information in the private sector (often called Loi 25).
1. Person responsible for the protection of personal information

2. Purposes of collection
We collect personal information about you and your organization in order to:
- Identify your firm and confirm the representative's authority to engage with Meridian;
- Build a sustainability-and-financial profile of your portfolio in order to recommend asset managers aligned with your preferences;
- Produce reports, follow-ups, and ongoing advisory communications;
- Comply with AMF record-keeping and suitability obligations applicable to registered investment advisors.
3. Categories of personal information collected
- Identification of the representative: full name, work email, role / job title, declaration of authority to commit the organization;
- Information about your organization: legal name, jurisdiction, address, AUM, currency, NEQ (if applicable), firm contact details;
- Documents you upload: investment policy statement, portfolio holdings, supporting documents;
- Sustainability and financial preferences expressed through the questionnaire and asset-allocation tables;
- Technical metadata necessary to operate the platform (login timestamps, audit log of changes you make).
4. Third parties with access to the information
Personal information is accessed only by Meridian employees who need it to perform their duties (analysts, senior analysts, administrators), and by the following service providers acting on our instructions:
- Supabase (managed database and authentication, hosted in Toronto, Canada);
- Vercel (application hosting);
- Microsoft Entra ID (single sign-on for Meridian staff and designated client representatives);
- Resend (transactional email delivery);
- Calendly (when you choose to book a meeting with our team).
We do not sell, rent, or share personal information for the commercial purposes of any third party.
5. Transfers outside Quebec
The application database is hosted in Toronto (Ontario, Canada) — within Canada but outside Quebec. Email delivery (Resend) and application hosting (Vercel) may involve transient processing outside Canada. Meridian has assessed these transfers and considers the legal frameworks applicable in the destination jurisdictions to provide adequate protection equivalent to that afforded by Quebec law. 6. Retention period
We retain your personal information for as long as your relationship with Meridian is active, and for an additional period of [TODO — confirm retention period with Meridian, typically 7 years to align with AMF record-keeping obligations] following its termination. After that period, the information is securely destroyed or anonymized.
7. Your rights
Under Loi 25 you have the right to:
- Access the personal information we hold about you;
- Have it rectified if it is inaccurate, incomplete, or ambiguous;
- Withdraw consent to a specific use (subject to legal and contractual constraints);
- Ask that information no longer required be destroyed or anonymized;
- Lodge a complaint with the Commission d'accès à l'information du Québec (CAI) if you believe your rights have not been respected.

8. Automated decision-making
Meridian does not currently use fully automated processing to make decisions that produce legal effects or significant impact on you. Where decision- support tools are introduced in the future, we will update this policy and inform you in accordance with Article 12.1 of Loi 25.
9. Changes
We may amend this policy. We will inform you of material changes through the Meridian platform or by email.
